Hello, and welcome to Feeldwork’s Privacy & Data Policy. This will tell you everything you need to know who we are, what data we use and how we use it.
Who we are
Firstly, let us introduce ourselves. We are Feeldwork Futures Ltd, a company registered in Scotland (Registration number SC788246). Our registered address is Lethan Croft, Brodieshill, Forres, IV362QU (“Feeldwork”).
When we talk about “Us”, “We” or “Feeldwork” we are referring exclusively to ourselves and no other persons or organisations.
Purpose of this privacy notice
This privacy notice aims to give you information on how Feeldwork collects and processes personal data through the use of this website and any data you may provide when you use our services.
It is important that you read this privacy notice together with any other privacy-related notice(s) we may provide on specific occasions (such as research participant consent forms) so that you are fully aware of how and why we are using your personal data.
This policy applies to the data that we collect from:
People who email us
People who are subscribed to our newsletter, or use any other services
People who visit our website and social media channels
People who participate in research we do on behalf of our clients
Note that in some cases, people who participate in our research will receive a customised participant information and consent form.
Feeldwork Futures Ltd. Is committed to:
Complying with current legislation, namely the General Data Protection Regulation (GDPR) (EU) and the Data Protection Act 2018 (UK);
Complying with good practice;
Respecting individuals’ rights;
Being open and honest with individuals whose data it holds;
Protecting clients, staff, research participants and other individuals involved in its work;
Providing training and support for staff who handle personal information, so that they can act confidently and consistently;
Notifying the Information Commissioner's Office (ICO) voluntarily;
If a data breach should occur, notifying all individuals who are affected.
This Privacy Policy was last updated in June 2024 and will be reviewed at least every three years.
The data we collect about you
Personal data, or personal information, means any information about an individual from which that person can be identified. This includes visual, voice and biometric data.
Here at Feeldwork we always treat your personal information in a safe and secure manner and always for the reason for which it was obtained in the first place.
We can receive personal data via the following methods;
Register for Marketing Material– You can subscribe to receive marketing information from us through our website or through our social media channels, such as LinkedIn. We ask for details such as your name, email address, business, job title and contact telephone number (optional). The data you provide will never be used for any other purposes or passed to a 3rd party.
Fulfilment of a contract – As part of our providing services to you we may record personal information such as:
Name
Address
Email address
Telephone number
Company information.
The legal basis for retaining this information is: “the processing is necessary for a contract you have with the individual, or because they have asked you to take specific steps before entering into a contract”.
and/or
“the processing is necessary for your legitimate interests or the legitimate interests of a third party”.
Research participation
As a participant in one of our research sessions you can be asked to provide any of the following:
Name
Address
Email address
Financial information (such as bank details)
Visual Data (such as photographs or video participation)
Voice
The information required is unique to each research session and as such participants are required to complete a separate consent form which details exactly what information is required and how it will be used.
The personal information may be shared with the 3rd party that has commissioned the research but will be anonymised as much as possible.
Personal Data collected for research will not be used for any other purpose.
Access to your data
In relation to their personal information, individuals have the right to do the following:
To be informed, with transparent information and communication from Feeldwork at the time of collection.
Withdraw consent at any time**,** to the processing of their personal information that has previously been given.
Access their personal information, to view what data is being held on them and how it is being processed. They can request a copy of this data.
Verify the data that is held on them, by gaining access and requesting for it to be corrected or updated.
Restrict the processing of their personal information. Subjects can request that Feeldwork cease the processing of their data, in which case the data will be stored for its original purpose or deleted.
To be forgotten, by having their personal information deleted from Feeldwork.
Data Portability, by having their personal information transferred to another Controller. Subjects can obtain their data in an appropriately readable format, have it transferred to another Controller and deleted from the previous.
Any requests to exercise these rights can be directed to studio@feeldworkfutures.co.uk. In order to fulfil the request, we must be able to verify your identity and may ask for further details about you and your contact with Feeldwork. We will respond to a request within one calendar month of receiving it, free of charge. However, if the request is complex or there are numerous requests we may extend this deadline by a further two months and/or charge a fee, we will notify you if this is the case and explain why.
People who e-mail us
We use a third-party provider, Gmail, for our email services. Our provider uses a Secure Sockets Layer (SSL) to encrypt and protect email traffic. However, if your email service does not support SSL, you should be aware that any emails we send or receive may not be protected in transit. We will also monitor any emails sent to us, including file attachments, for viruses or malicious software.
Note: Schrems Obligations
We acknowledge the Schrems II ruling, and recognise that any data transfer of personal data to non EU servers must undergo an individual risk assessment to ensure it is compliant with GDPR. We do not currently use or store data on any non-EU servers.
